Refund Policy

MRI Veterinary Solutions is a scheduling platform that connects veterinary clinics with independent MRI technologists based on availability. Because each confirmed booking reserves a professional’s time and blocks their calendar, cancellations are subject to the policy below.

1. How to Cancel a Booking

All cancellations must be submitted via email to:

info@mriveterinarysolutions.com

Bookings cannot be cancelled directly through the platform. Cancellation requests are processed manually. The effective cancellation time is based on the timestamp of the email received.

2. Cancellation & Refund Structure

If a clinic cancels a confirmed booking, the following refund terms apply:

  • More than 5 days before the scheduled appointment:
    70% refund issued. 30% retained as administrative and scheduling fee.
  • Less than 5 days before the scheduled appointment:
    50% refund issued. 50% retained due to short notice impact on technician scheduling.
  • Less than 24 hours before the scheduled appointment:
    No refund. 100% of the booking fee is retained.

3. No-Show Policy

If a clinic fails to provide facility access, required case details, or cancels upon technician arrival, the booking will be treated as a same-day cancellation and no refund will be issued.

4. Cancellation by MRI Technologist

If a technologist cancels a confirmed booking:

  • We will make reasonable efforts to secure a replacement.
  • If no replacement is available, the clinic will receive a full refund.

5. Refund Processing

Approved refunds will be issued to the original payment method within 5 to 10 business days from confirmation of cancellation approval. Processing times may vary depending on the financial institution.

6. Booking Modifications

Requests to reschedule are treated as cancellations and new bookings. Refund eligibility will follow the cancellation timelines outlined above.

7. Administrative & Platform Fees

Administrative, coordination, and processing fees are non-refundable once a booking is confirmed.

8. Exceptional Circumstances

Refund exceptions may be considered in documented emergency situations at the sole discretion of MRI Veterinary Solutions.

9. Dispute Window

Any billing disputes must be submitted in writing within 7 days of the scheduled service date. Failure to notify within this timeframe constitutes acceptance of the charges.
